Portfolio Manager – Bureau Projects

Job Summary

We are seeking a highly organized and detail-oriented Portfolio Manager to oversee and coordinate projects for the Bureau. This position will manage project timelines, documentation, meetings, action items, reporting, and communication with internal and external stakeholders.

Key Responsibilities

  • Manage multiple Bureau projects from planning through completion.
  • Develop project documentation, timelines, status reports, and tracking tools.
  • Monitor project progress, identify potential issues, and ensure deadlines are met.
  • Coordinate projects involving handbooks, website updates, forms, reporting, and process improvements.
  • Support annual surveys, reporting, reconciliation projects, metrics, and other special initiatives.
  • Develop and update procedures, processes, flowcharts, SOPs, forms, and reporting templates.
  • Review data, identify trends and patterns, and assist with developing reports and data pulls.
  • Coordinate and facilitate project meetings, including preparing agendas, taking meeting minutes, and tracking follow-up action items.
  • Serve as a liaison between internal departments, management, and external stakeholders.
  • Work closely with team members to understand project goals, requirements, and expectations.

Qualifications

  • Experience in project management, project coordination, or a similar role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency with Microsoft Office, particularly Word and Excel.
  • Experience with Microsoft Project is a plus.
  • Governmental project management or contract management experience is preferred but not required.
  • Ability to manage multiple priorities and work effectively in a team environment.
  • Flexible, innovative, and comfortable working with a variety of stakeholders.
